Company dashboard with sales, purchases, stock value, sales versus purchases chart, low-stock table and pending approvals

Overview

This demonstration project shows a business management system for a small trading company with two warehouses and a mixed office and warehouse team. It replaces the spreadsheets, email threads and paper forms that usually run a business at this size with one system organised into modules: inventory, purchasing, sales orders, suppliers, employees and documents.

The warehouse team works from phones — scanning, counting and approving — while management follows stock value, purchases and approvals from the dashboard.

The challenge

As a company grows, its processes live in too many places: stock in one spreadsheet, purchase requests in email, approvals in someone's head and leave requests on paper. Nobody knows the real stock level, purchases are made twice or too late, and full ERP suites are expensive, slow to implement and force the business into someone else's process.

The solution

The concept builds only the modules the company needs, around its own process. Every item has stock per warehouse, movements are recorded automatically from purchases, sales and counts, and reorder levels trigger alerts. Purchase orders above a limit follow an approval flow with budget checks and comments. Leave requests, supplier details and documents live in the same system, and the dashboard brings sales, purchases, stock value and pending approvals together.

Key features

  • Inventory per warehouse with a full movement history
  • Barcode scanning and stock counts from a phone
  • Reorder levels with low-stock alerts
  • Purchase orders with multi-step approval and budget checks
  • Sales orders and supplier management
  • Employee records, leave requests and shifts
  • Document storage per supplier, order or employee
  • Company dashboard with sales, purchases and stock value

Who it is for

  • Trading and wholesale companies outgrowing spreadsheets
  • Businesses with more than one warehouse or location
  • Companies that find full ERP suites too heavy
  • Management teams that need approvals and a clear audit trail

Technical approach

A modular Next.js application where each module — inventory, purchasing, HR — has its own data model in PostgreSQL through Prisma, sharing users, roles and an audit log. Stock is calculated from an append-only movement ledger, which keeps history traceable. Approval flows and reminders run as BullMQ jobs, documents are stored in S3-compatible storage, and the mobile screens are responsive web views that work with barcode scanners and phone cameras.

Questions about this type of project

Is this system running at a real company?

No. It is a demonstration project with sample items, orders and employees. It shows how Saad builds a modular business management system.

Is a custom system an alternative to an ERP suite?

For many small and mid-sized companies, yes: you build the modules you actually use, in your own process. For companies with complex accounting or regulatory needs, the custom system can instead sit next to the accounting package and exchange data with it.

Can we start with one module and add more later?

Yes. Most businesses start with inventory or purchasing, where the pain is largest, and add modules in later phases. Shared users, roles and audit logging are in place from the start.
