Overview
This demonstration project shows garage management software for an independent workshop with a few bays and mechanics. From the moment a car is checked in until the customer pays, everything lives in one place: the vehicle and its history, the complaint and findings, the quote the customer approved, the parts and hours used, photos, and the invoice.
Customers book online, get a WhatsApp message when the car is ready and can pay the invoice from their phone. The workshop manager sees at a glance which car is in which bay and what is waiting for parts.
The challenge
Many garages still run on a whiteboard, a paper diary and a separate invoicing program. Mechanics walk to the office to ask what is next, customers phone to ask whether their car is ready, approvals for extra work get lost, and the vehicle history is scattered across old invoices. Generic business software does not know about licence plates, VIN numbers, inspections or bays.
The solution
The concept models the workshop the way it works. A vehicle is recognised by its licence plate and keeps its full service history. Each visit is a repair order moving across a board — checked in, diagnosis, in repair, quality check, ready — with jobs, parts, labour, checklists and photos. Quotes for extra work are approved by the customer in a message, appointments come in from the website, and the finished order becomes an invoice in one step.
Key features
- Live workshop board by stage and bay
- Repair orders with labour, parts, fees and VAT
- Vehicle records by licence plate and VIN with service history
- Quotes for extra work approved by the customer
- Online appointment booking with bay capacity
- WhatsApp and email updates when the car is ready
- Checklists and photos of replaced parts
- Invoices and online payment from the repair order
Who it is for
- Independent garages and car repair workshops
- Tyre and service centres with several bays
- Garages moving off whiteboards and paper diaries
- Workshops that want fewer phone calls from customers
Technical approach
A Next.js application for the office and workshop screens, with PostgreSQL through Prisma for vehicles, customers, repair orders, parts and appointments. Stock is updated automatically from parts used on repair orders. BullMQ sends status updates, inspection reminders and appointment reminders through the WhatsApp Business API and email; photos are stored in S3-compatible storage; and payment links use the provider's hosted checkout.

Questions about this type of project
Is this software used by a real garage?
No. It is a demonstration project with sample vehicles, plates and repair orders. It shows how Saad builds custom garage management software.
Can vehicle data be filled in from the licence plate?
In countries with an official vehicle data service — for example the RDW open data in the Netherlands — make, model and inspection dates can be looked up from the plate. Where no such service exists, the data is entered once and kept with the vehicle.
Can customers approve extra work remotely?
Yes. The garage sends the quote by WhatsApp or email with a link; the customer approves or declines, and the answer is recorded on the repair order with a timestamp.
