Overview
This demonstration project shows a custom CRM for a small sales team that sells projects and services. Leads arrive from website forms, WhatsApp and referrals; each one moves through a pipeline that matches how the team actually sells; and every call, email, meeting and quote is visible on one timeline per contact.
Because the system is built for one process instead of every possible one, there are fewer fields, fewer clicks and no features the team has to work around.
The challenge
Small teams often choose between two bad options: a spreadsheet that nobody keeps up to date, or a large CRM whose per-seat licences, generic fields and complex screens slow everyone down. Leads from WhatsApp and the website end up in different inboxes, follow-ups are forgotten, and managers cannot see which deals will close this month.
The solution
The concept brings every lead into one inbox and one pipeline. Website forms and WhatsApp messages create or update contacts automatically, with the source recorded for later analysis. Stages, required fields and follow-up rules match the team's own process. Tasks remind the owner when a deal goes quiet, quotes are generated from the deal, and the dashboard shows pipeline value, win rate and overdue follow-ups.
Key features
- Visual pipeline with drag-and-drop stages and deal values
- Automatic lead capture from website forms and WhatsApp
- Contact and company profiles with a complete activity timeline
- Follow-up tasks, reminders and overdue alerts
- Quotes generated from deal data
- Lead source tracking for marketing decisions
- Sales dashboard: pipeline value, funnel and win rate
- Mobile view for calls, notes and tasks on the go
Who it is for
- Small sales teams outgrowing spreadsheets
- Service businesses that sell projects and quotes
- Companies receiving leads through WhatsApp
- Teams paying for a large CRM they only half use
Technical approach
A Next.js application with server-side data access and role checks, backed by PostgreSQL through Prisma for contacts, companies, deals, activities and tasks. Incoming messages arrive through webhooks from the WhatsApp Business API and the website, and BullMQ runs reminders, sequences and daily digests. Email is logged via SMTP and IMAP, and calendar events sync with the team's calendars.

Questions about this type of project
Is this CRM used by a real company?
No. It is a demonstration project with sample contacts and deals. It shows how Saad designs a custom CRM around a specific sales process.
Can a custom CRM connect to WhatsApp?
Yes, through the official WhatsApp Business API. Incoming messages can create or update contacts and appear on the timeline, subject to Meta's rules for business messaging.
When does a custom CRM make more sense than an off-the-shelf one?
When your process is specific, when you pay for many seats you barely use, or when the CRM must connect deeply to your own systems such as quoting, projects or invoicing. For a standard process, an existing CRM may be the better choice — that is part of the first conversation.
